If your treatment requires a longer appointment or specialized procedures, additional booking conditions may apply.

Vienna Dental Clinic is committed to transparency and fairness. This section sets out the terms for refunds, cancellations, and changes that apply to electronic payments made to the clinic, including payments processed via Paymob or any other payment gateway.

Booking Deposits & Advance Payments

Where a booking deposit or other advance payment is made online, it is deducted from the total treatment cost and is not an additional fee.

Cancellations & Refunds

• Cancellation 48 hours or more before the appointment: the deposit is refunded in full, with no charges.
• Cancellation less than 48 hours before the appointment: the deposit is non-refundable, except in documented emergencies at the clinic's discretion.
• Rescheduling: the deposit can be transferred to a new appointment at no cost, provided the clinic is notified at least 24 hours before the original appointment.
• No-show: if a patient does not attend without prior notice, the deposit is non-refundable.

Clinic-Initiated Cancellations

If the clinic needs to cancel or postpone an appointment, the patient is entitled to a full refund of the deposit or a transfer to an alternative appointment of their choice, processed within 7 business days of the cancellation.

Refund Processing

Approved refunds are returned to the original payment method (credit/debit card or digital wallet) within 7 to 14 business days, depending on your bank or card issuer. The time it takes for the refund to appear on your statement may vary.

Non-Refundable Services

• Completed or partially completed treatment sessions
• Custom-made devices or appliances ordered specifically for the patient (for example, orthodontic appliances or custom crowns)
• Consultation and examination fees once the examination has taken place
